Kanopi ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use our reporting and analytics platform ("Service").

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, company name, and role. This information is used to provision your account and manage access.

Aspire Operational Data

When you connect your Aspire account, we sync operational data such as job details, labor records, material costs, and property information. This data powers job costing, crew performance, and financial reports within the Service.

QuickBooks Financial Data

When you connect your QuickBooks account via Intuit's OAuth 2.0 flow, we retrieve financial reports including Profit & Loss statements, Balance Sheets, and Cash Flow statements. This data is used solely to display financial information within the Service.

  • QuickBooks data is not sold to any third party.
  • QuickBooks data is not shared with any third party beyond what is necessary to provide the Service.
  • QuickBooks data is stored securely in our database with encryption at rest.
  • You can disconnect QuickBooks at any time through the Settings page.
  • You can request deletion of all QuickBooks data by contacting support.

Usage Data

We collect standard usage information such as pages visited, features used, and session duration to improve the Service.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Generate dashboards, reports, and analytics from your connected data sources
  • Communicate with you about your account, updates, and support requests
  • Improve and develop new features for the Service
  • Ensure the security and integrity of the Service

4. Data Storage and Security

We take the security of your data seriously. Your data is stored in a managed database with encryption at rest and in transit (HTTPS/TLS). Access controls ensure users can only view data belonging to their own company. We follow industry-standard practices for authentication, secret management, and infrastructure security.

5. Third-Party Integrations

The Service integrates with the following third-party platforms. Each integration is initiated by you and can be disconnected at any time:

  • Aspire (by ServiceTitan): Operational data is synced via Aspire's API using credentials you provide. Data is used exclusively within the Service.
  • Intuit QuickBooks: Financial report data is accessed via QuickBooks' OAuth 2.0 API. We comply with Intuit's developer terms and data use policies. We do not access QuickBooks data beyond the scope authorized during the OAuth flow.

6. Data Retention

We retain your data for as long as your account is active. If you cancel your account, your data will be retained for 30 days to allow for reactivation, after which it will be permanently deleted. You may request immediate deletion of your data at any time by contacting support.

7. Data Sharing

We do not sell your personal information or your business data. We do not share your data with third parties except:

  • With your consent
  • To comply with legal obligations
  • With service providers who assist in operating the Service (e.g., hosting, database), under strict confidentiality agreements

8. Your Rights

You have the right to:

  • Access the data we hold about you and your company
  • Correct inaccurate or incomplete data
  • Delete your data by canceling your account or contacting support
  • Disconnect any third-party integration at any time
  • Export your data upon request

9. Cookies

We use essential cookies for authentication and session management. We do not use third-party advertising or tracking cookies.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated policy.
